My Boat Notes is operated by Trovia Technologies Inc. (“Trovia”, “we”, “us”, “our”), a company incorporated in British Columbia, Canada. This policy explains what information we collect through the My Boat Notes app and website (together, the “Service”), how we use it, who we share it with, and the choices you have.
Please read Section 3 before you agree
Section 3 describes how we use your content to measure accuracy and to produce aggregate insights, which goes beyond simply operating the Service. On the free tier, agreeing to those uses is a condition of using the Service at no charge, and we ask you to agree before you start.
My Boat Notes is available to users in Canada and the United States.
1. Information we collect
Account information. Your name and email address when you sign up or sign in.
Authentication data. Identifiers from Apple Sign In or Google OAuth if you choose to sign in with those providers.
Vessel and content data
Information you enter, upload, or generate in the Service, including:
•
Vessel details — make, model, year, hull identification number, registration or documentation numbers, engine and equipment details, serial numbers
•
Maintenance and service records, work orders, engine hours, fuel and fluid logs
•
Photographs, videos, scanned manuals, invoices, receipts, and survey reports you upload
•
Notes, checklists, reminders, and questions you submit to the AI assistant
•
Names and contact details of third parties you enter, such as mechanics, marinas, surveyors, insurers, or crew
Information about other people. If you enter information about another person — your mechanic, surveyor, insurance broker, marina contact, or a crew member — you are responsible for making sure you are allowed to give it to us, and for telling that person how it will be used under this policy. We handle it the same way as the rest of your content.
Usage and device data. Log data, IP address, device type and operating system, app version, and interaction data — for example which questions you asked and whether you found the answer useful.
Support communications. Messages, feedback, and attachments you send us.
We do not collect biometric information. Face ID or Touch ID, if you use it, is handled by your device and never transmitted to us.
2. How we use information
We use the information described above to:
•
Provide, operate, maintain, and secure the Service
•
Authenticate you and protect your account
•
Generate AI responses, summaries, diagnostics, and maintenance recommendations based on your content
•
Deliver one-time passcodes by email at your request
•
Manage your plan and its limits
•
Communicate with you about your account, service changes, and support requests
•
Detect, investigate, and prevent fraud, abuse, and security incidents
•
Comply with legal obligations
•
Measure accuracy and produce aggregate insights, as described in Section 3
3. How we use your content to improve the Service
This section describes how we use your content beyond delivering the Service to you. Please read it before agreeing.
3.1 Two things we do not do
We do not train AI models on your content. Your content is not used to train or fine-tune any artificial intelligence model — ours or anyone else's.
Your records stay private to you. Content in your account is never added to a shared knowledge base, never used to answer another user's question, and never made retrievable by any other person. Another My Boat Notes user cannot reach your records, and neither can any Trovia business customer.
3.2 What we do use it for
Measuring and improving accuracy. We use your content and your interactions with the Service to measure how accurate our answers are, to test changes, and to find where the Service gets things wrong. This is how we tell whether an update makes it better or worse.
Aggregate insights. We combine information across many users' records to produce statistics — for example the typical cost of a given repair, how often a particular part fails, or typical service intervals for an engine model. We use these to give better guidance inside the Service, and we may publish them as reports or benchmarks.
Aggregate insights are numbers calculated across many boats. They are not your records, and they do not identify you or your vessel. See Section 3.5.
3.3 My Boat Notes and the Trovia platform
My Boat Notes is built on the Trovia platform, which Trovia also offers to business customers in other industries. Your content is never disclosed to, shared with, or made retrievable by any other Trovia customer. Access is bounded at the platform level.
The accuracy measurements and aggregate insights we derive may be used by Trovia across its products and services, including in products other than My Boat Notes.
3.4 Commercialization
We may use and publish the aggregate insights and benchmarks described in Section 3.2, including in products and services that Trovia offers commercially.
We do not sell or license your records to third parties today. We do not sell or license your personal information, your vessel records, your uploaded documents, or your photographs, and we do not sell or license derived datasets to manufacturers, dealers, insurers, marinas, or anyone else for their own use.
If that changes, you will hear from us first. If we ever decide to sell or license information that identifies you or your vessel, we will notify you in the app and by email at least 30 days before it happens. The notice will say who we intend to disclose your information to, what categories of information are involved, and what it will be used for. You will be able to opt out from that disclosure, in one step, at any time before it takes effect and afterwards, and opting out will not change your access to the Service or cost you anything. If you opt out, your information is not included.
3.5 How we keep aggregate insights anonymous
Before your information contributes to any aggregate insight, we remove direct identifiers, and we remove or generalize identifiers that could single out a particular vessel — including hull identification numbers, registration and documentation numbers, and precise location.
We suppress any statistic drawn from too few boats to be anonymous. If only a handful of users have recorded a particular repair, we do not publish a figure for it. We do not attempt to re-identify de-identified data.
3.6 Free tier
If you use My Boat Notes on the free tier, the uses in this section are part of what you give in exchange for the Service at no charge, and they cannot be turned off. We explain them to you and ask you to agree before you start using the Service.
If you do not want your information contributing to these uses, you can — once paid tiers are available — subscribe to one and turn it off, or not use the Service.
3.7 Paid tiers
Paid tiers are not yet available. When they are, if you subscribe to one, you can stop your information contributing to accuracy measurement and aggregate insights at any time in Settings → Privacy → Help Improve My Boat Notes.
Turning it off applies going forward. Aggregate figures already calculated or published are not recalculated, because they are anonymous statistics rather than your personal information. We continue to process your content as needed to deliver the Service to you.
4. AI processing and third-party AI providers
My Boat Notes uses artificial intelligence to answer your questions and generate maintenance guidance. To do this, we transmit relevant portions of your content — vessel details, maintenance records, uploaded documents, and the text of your question — to the following providers:
•
Amazon Web Services, Inc. (Amazon Bedrock) — hosts and runs the Anthropic models used by the Service, and provides the embedding model (Amazon Titan) that makes your records searchable.
•
Anthropic PBC — provides the foundation models used to generate responses, accessed through Amazon Bedrock.
•
OpenAI, L.L.C. — processes the text of your documents, notes, and chat to extract events, specifications, and summaries; transcribes voice recordings and powers voice conversations; and analyzes videos and photos, including checking whether a photo relates to your vessel.
Under the terms applicable to our use of Bedrock, your content is not shared with the model providers and is not used to train or improve their base models, and is not retained by them after processing. Under OpenAI’s API terms, your content is not used to train OpenAI’s models; OpenAI may retain it for up to 30 days for abuse monitoring.
We ask for your explicit permission in the app before any of your content is sent to these providers for the first time. Because the Service is built on these AI features, it can’t be used without this permission. What you agreed to is shown under Account → About → AI and data sharing, and you can delete your account at any time in the app.
We update this section when our providers change, and we will notify you before adding a new one.
5. Cookies and similar technologies
We and our service providers use cookies, SDKs, and similar technologies to keep you signed in and remember your settings. We do not use them for advertising or for tracking you across other companies' apps or websites.
You can control cookies through your browser settings and limit advertising identifiers through your device settings. Some parts of the Service will not work if you block cookies.
6. Sharing and disclosure
We share information only as follows:
Service providers. Cloud hosting and storage (Amazon Web Services), AI model hosting (Section 4), authentication, and email delivery. Each acts on our instructions under a written agreement and may not use your information for its own purposes.
At your direction. If you invite another person to your vessel, we share what you choose with the recipients you choose.
Business transfers. If we are involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction. We will require the recipient to honour the commitments in this policy, or give you notice and a chance to delete your data first.
Legal and safety. We may disclose information where required by law or valid legal process, or where we reasonably believe it is necessary to protect the rights, safety, or property of Trovia, our users, or the public.
We do not use your personal information for advertising, we do not show third-party advertising in the Service, and we do not track you across apps or websites owned by other companies. We do not disclose your personal information to third parties for their own marketing purposes.
7. Storage, security, and location
Where your content is stored. Your content is stored at rest in Amazon Web Services infrastructure in the ca-central-1 region in Canada, encrypted with Trovia-managed keys.
Where it is processed. AI processing is different from storage. We call AI models through global, cross-region endpoints, which means the content of your questions and the records used to answer them may be processed outside Canada, including in the United States, and may be subject to the laws of the country where processing occurs. Processing takes place within AWS Bedrock infrastructure and, for the features described in Section 4, at OpenAI in the United States.
We apply:
•
Encryption in transit (TLS) and at rest
•
Access boundaries separating your content from that of other Trovia customers
•
Role-based access controls, with staff access limited to those who need it for support, security, or debugging, and logged
•
Regular backups and monitoring
No system is perfectly secure. Protect your sign-in credentials and enable device-level security on your phone.
If a security incident creates a real risk of significant harm to you, we will notify you and the applicable regulators as required by law. We keep records of security incidents as the law requires.
8. Retention and deletion
We retain your account and content data while your account is active. You can:
•
Delete individual records at any time in the app
•
Delete your entire account and all content from Account → Delete account
Deletion is permanent — there is no undo. When you delete content, we remove it from the live Service and from the associated search indexes and embeddings. Deleted data is purged from backups within 30 days.
We may retain a limited set of records longer where required for legal, tax, accounting, or fraud-prevention purposes.
Aggregate figures already calculated from your information are not deleted, because they are anonymous statistics that no longer identify you and cannot be traced back to your records.
9. Your choices and rights
Regardless of where you live, you can:
•
Access and correct your account information in your profile
•
Request a copy of your data by emailing hello@myboatnotes.com
•
Delete individual records or your whole account, in the app
•
Stop contributing to accuracy measurement and aggregate insights (paid tiers — see Section 3.7)
•
Opt out of any future disclosure of your information to a third party, on any tier (see Section 3.4)
•
Unsubscribe from marketing email
•
Contact us at hello@myboatnotes.com with any privacy question or complaint
If you are in Canada
You have the right under PIPEDA and applicable provincial legislation to access your personal information, request correction, and withdraw consent, subject to legal and contractual limits. Withdrawing consent may mean we can no longer provide parts of the Service. Our person in charge of protecting personal information is our Chief Technology Officer, reachable at hello@myboatnotes.com.
If you are in Quebec, you may also request your personal information in a structured, commonly used technological format, ask us to stop disclosing it or to de-index it where the law provides, and be informed of any decision about you made exclusively by automated means.
If you are in the United States
Depending on your state, you may have the right to know what personal information we hold, to access and correct it, to request deletion, and to opt out of targeted advertising, the sale of personal information, or profiling. We do not sell or share personal information, do not use it for targeted advertising, and do not use it for profiling that produces legal or similarly significant effects. To exercise any right, email hello@myboatnotes.com. You may designate an authorized agent, and we will not discriminate against you for exercising your rights.
We do not charge for these requests and respond within the time required by law, generally 30 days.
10. Marketing and electronic messages
We send commercial electronic messages — newsletters, product announcements, offers — only where you have consented or where the law permits. Consent is captured at sign-up on a separate control, not bundled with your acceptance of the Terms. Every marketing message identifies us, gives our contact information, and includes an unsubscribe link, and we action unsubscribe requests within 10 business days.
We will still send you messages about your account, security, and material changes to the Service.
Push notifications deliver service messages, such as a reply to a question you asked.
11. Adults only
My Boat Notes is for adults. You must be 18, or the age of majority where you live if that is higher, to create an account. The Service is not directed to children, and we do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us information, email hello@myboatnotes.com and we will delete it.
12. Changes to this policy
We may update this Privacy Policy. If we make a material change to how we use your content — particularly any expansion of the uses in Section 3, any decision to train AI models on your content, or any decision to sell or license data to third parties — we will notify you in the app and by email at least 30 days before the change takes effect.
For a change that affects the commitments in Section 3.1 or Section 3.4, the notice will explain plainly what is changing, and you will be able to opt out of the new use in one step, before it takes effect and afterwards, without cost and without losing access to the Service. Where the law requires your express consent rather than an opportunity to opt out, we will ask for it.
Prior versions of this policy are available on request.
